Job Summary
We are seeking a professional and friendly Receptionist to join our Gaskins + LeCraw team at the Marietta office. The ideal candidate will be the first point of contact for visitors and callers, ensuring a welcoming and organized front office environment. This role also includes administrative support duties and coordination of office activities and events.
Key Responsibilities
- Politely and professionally greet and welcome visitors and direct them to the appropriate person and office.
- Answer the Marietta main line and announce callers to staff.
- Ensure the reception area is tidy and presentable, with all necessary stationery and materials.
- Collaborate with office administrators, support personnel, management, and clients regularly.
- Serve as the Marietta administrative assistant for various departments.
- Prepare communications such as memos, emails, invoices, reports, and other correspondence.
- Retrieve, sort, and distribute incoming and outgoing mail and deliveries.
- Travel to the post office for special deliveries.
- Maintain office security by following safety procedures and controlling access via the reception desk.
- Order office, kitchen, and restroom supplies as well as maintaining and organizing spaces as needed.
- Ensure monthly announcements are running on reception and training area screens.
- Order food deliveries for group meetings.
- Manage meeting room availability.
- Coordinate travel and accommodations.
- Order company apparel and stationery.
- Keep updated records of office expenses and costs.
- Perform clerical duties such as filing, photocopying, transcribing, and scanning.
- Oversee and achieve organizational goals while upholding best practices.
Other Duties – As Needed
- Contact customers with past due balances (small accounts).
- Organize merchandise orders for all employees.
- Assist Business Development team.
- Assist in planning and preparation of company events and meetings such as Townhall, Holiday Party, Retreats, Client Appreciation, and Lunch Meetings.
Requirements and Skills
- Proven work experience as a Receptionist, Front Office Representative, or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) with the ability to learn new programs as needed.
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Excellent written and verbal communication and interpersonal skills, with the ability to interact professionally with employees at all levels.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Detail-oriented with a high level of accuracy in data entry and record-keeping.
- Flexible and adaptable, with the ability to work effectively in a fast-paced environment.
- A commitment to upholding the highest standards of professionalism, integrity, and
confidentiality. - High school diploma or equivalent is required.
Work Environment
- This position is based in the Marietta office and requires in-person attendance.
- The receptionist will work standard business hours Monday-Friday from 8am-5pm with occasional flexibility for events or meetings.
- The role involves frequent interaction with staff, clients, and visitors, and requires a professional demeanor at all times.
- The role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
